NOTICE OF THE ONLINE ANNUAL GENERAL MEETING OF THE NELSON MANDELA UNIVERSITY ALUMNI ASSOCIATION 

a) Invitation to Members

Members of the Nelson Mandela University Alumni Association are hereby cordially invited to register as an attendee for the 2026 Online Annual General Meeting (AGM).

Who May Attend?

In accordance with Paragraph 6 of the Alumni Association Constitution, membership of the Association includes:

  • The Vice-Chancellor and members of the Extended Management Committee.
  • Persons awarded a certificate, diploma, degree, or honorary degree by Nelson Mandela University, the former University of Port Elizabeth (UPE), the former Port Elizabeth Technikon (PET), and predecessor institutions.
  • Academic employees appointed to permanent positions at the University.
  • Professors Emeriti and retired academic employees of the University and predecessor institutions.
  • Employees previously entitled to membership of the Convocations of the former UPE and PET.
  • Honorary members granted membership in recognition of meritorious service to the University and the objectives of the Alumni Association.

Submission of New Matters

Members wishing to propose new matters for consideration at the AGM are requested to submit the matter in writing to the Secretary of the Alumni Association.

AGM Registration and Verification Process

  • Eligible members wishing to attend the AGM must complete the online registration form by 18 August 2026. All registrations will be verified against the University's official alumni records to confirm membership eligibility and authenticate participant details.
  • Following successful verification, eligible members will receive a confirmation email with instructions to confirm their participation and gain access to the AGM.

Please note: Registration does not guarantee AGM access. Admission is subject to successful verification and membership confirmation. Members are advised to provide an active email address and regularly monitor their inbox, including spam and junk folders, for AGM communications from the email alumniconnect@mandela.ac.za

b) AGM Registration and Verification Process

Participation in the Nelson Mandela University Alumni Association Annual General Meeting (AGM) is subject to registration, verification, and authentication.

To protect the integrity of the Association and ensure compliance with governance requirements, all registrations will be verified against official Nelson Mandela University alumni and institutional records.

Eligible members wishing to participate in the AGM are required to complete the online registration form and provide sufficient information to enable verification of their graduate status and membership eligibility.

Verification Process

The AGM registration process consists of two steps:

Step 1: Registration

Complete and submit the AGM Registration.

As part of the registration process, you will be required to provide personal, contact, qualification, and graduate verification information to assist with record matching and verification.

Important Email Information for the Registration Information

All AGM communication will be distributed electronically.

Members are encouraged to ensure that:

  • Their email address is active and regularly monitored.
  • Their mailbox can receive emails.
  • Spam and Junk folders are checked regularly.
  • Workplace email security settings do not block correspondence from Nelson Mandela University.
  • Their contact information is up to date.
  • Student email addresses such as s123456789@mandela.ac.za may no longer be active after graduation. Unless you are formally registered as a student during the current 2026 academic year, your student mailbox may be inactive and should not be used for AGM communications.

Step 2: Verification and Authentication

Once submitted, your information will be reviewed against official University records.

Verification is conducted to:

  • Confirm graduate status and membership eligibility.
  • Authenticate participant information.
  • Maintain data integrity.
  • Ensure compliance with the Alumni Association Constitution.
  • Protect the integrity of the AGM process.

Step 3  AGM Access Through Member Verified Email Provided

Only individuals whose information has been successfully verified will receive:

  • A verification confirmation through their email provided to verify their email address which would be sent from alumniconnect@mandela.ac.za
  • The email would include access to AGM meeting information. This email may not be forwarded to any Alumni Association members, as each member must complete the official registration form. 

Keeping Your Alumni Information Updated

The Alumni Association Constitution places responsibility on members to keep their contact information current According to the Nelson Mandela University Alumni Association Constitution. (Paragraph 6 - subparagraph (6.3) - Membership. It is incumbent upon every member of the Association to notify the Secretary in writing of any change of address or name or any other relevant contact details.

Up-to-date information assists with:

  • Graduate verification.
  • AGM communication.
  • Alumni engagement opportunities.
  • Networking and alumni events.
  • Maintaining accurate alumni records.

We encourage members to review and update their details on the official Alumni Database before registering for the AGM.
